We are

 

An independent property consultancy founded in 1986 with eight offices across London and the South of England. We provide surveying and valuation services to individuals and businesses when important property decisions need to be made. Our head office team based in Maidenhead is looking to recruit a property management assistant. The position would suit an experienced property manager. Working hours and days are flexible with a minimum of 25 hours a week required.

 

You are

 

An enthusiastic, responsible person with an enquiring mind and an interest in commercial property management. The successful candidate will also need to show good attention to detail and thoroughness in the way that they work. You will have a flexible and can-do working attitude, be pro-active, self-motivated and able to multi-task extensively.

You will work with and report to the Head of General Practice and the Senior Surveyors within the General Practice team. As part of an established team, this is a demanding role that requires excellent communication and reporting skills with clients, colleagues, contractors and tenants.

The role would suit a property assistant with experience of working in a small or medium-sized business. Qualifications in the field of commercial and residential management will be recognised but not necessary if the right person can demonstrate the required experience which will include dealing with commercial leases, arranging minor works, dealing with service charges, tenant disputes, client reporting, processing invoices.

 

Main duties of role

 

You will have the responsibility of the day-to-day management, working primarily in your own capacity but also reporting to both the Surveyors of the General Practice team and our valued clients. Our portfolio is primarily commercial although we oversee some residential properties. Your role will include:

  • Acting as support for the Surveyor dealing with each individual property
  • Arrange and monitor contractors for minor works
  • Liaise with client’s letting agent, collating relevant paperwork
  • Undertake meter readings
  • Providing access to contractors
  • When required you will be the point of contact for the client, supported by the Surveyor where appropriate
  • Rent collection – involving emailing/calling tenants who have fallen into arrears
  • Dealing with or fielding initial tenant enquiries
  • You shall be one of the initial points of contact for the tenants for minor queries. More in-depth/complicated queries from the tenant or client will be passed onto the Surveyor when required
  • Processing invoices onto Riverlake
  • Monitoring Riverlake for instructions from the Surveyor
  • Contacting local authorities and utility companies when required
  • Undertake analysis of utility contracts for renewal when required
  • Attend quarterly update meetings

 

Compulsory skill set

 

  • Min 3 years’ experience in commercial and residential property management
  • Willingness to roll sleeves up and carry out all management tasks from the most straight forward daily tasks such as fielding tenant queries and reading meters to more demanding jobs such as managing minor works and formally reporting to clients
  • Process orientated with high attention to detail
  • Able to build excellent working relationships with suppliers and colleagues at all levels
  • Excellent organisational skills
  • Processing invoices
  • Full clean UK driving license 

 

Compulsory technical skill set

 

  • Excellent working knowledge of Excel
  • Working knowledge of Word

 

Bonus Skills:

 

  • Experience of Riverlake, our property management tool
  • Experience in setting up and budgeting service charges
